Prepare Presenters for their LexGo Sessions
This is for event managers to help prepare presenters. If you are a presenter go here.
Upfront Communication to your Presenter(s)
Let the presenters know that LexGo is built to drive attendee participation and they should build their presentation around that principle.
A dry run will be scheduled and the presenter should be in the same location, on the same network and using the same computer, microphone and speakers they plan to use the day of their presentation.
Instruct the presenter on how to get the most out of LexGo with these options for their presentation:
- “I have a question” table - This is a way for the audience to ask questions in a more formal and controlled fashion. They can join the table and the producer can bring them up to the stage or front of the room to ask their question for the rest of the audience to hear the question and the presenters answer.
- Jump directly to the stage or front of the room - This allows the audience to jump to the stage or front of the room and ask their question. This is less formal approach to allow the audience to ask questions and interact with the presenter.
- Table Time - Have activities that the audience can work through at their tables either individually or as a group. It can be effective to have one person from each table come up and share “Aha” moments.
The LexGo Experience
LexGo: The Basics
A few key pieces to best understand and utilize LexGo:
Turn on your camera and microphone when you come into LexGo
Attendees are able to move around just as they would in a physical space
Floors (if more than 1 floor)
To navigate to another floor you just click on the floor name and you will be taken to that floor. For a conference or larger event you might have multiple floors. For example you might have a sponsor/exhibitor floor, a main stage, breakout floors.
Map
You can open or close the map. If you are in a one room and need to join another room you can simply click on the arrow half way down the screen to open the map.
Joining a Table/Room
With the map open you will see many rooms or tables and to move to that room/table you simply click the Join button on the map. This allows you to move freely around LexGo.
AV Controls
To control your microphone, camera and screen share you will find the controls at the bottom of the screen.
Please mute yourself when you are not speaking.
Live Help!
If at any point you are having technical issues you can always find the “Live Help!” button and click on that to get to LexGo support.
Main Stage Presenters
Dry Run
- Meet them in the lobby and discuss what steps will occur
- Ask them if they have a Mac? If so, follow these instructions. They will need to relaunch and come back in to share.
- If not presenting on that floor move to the floor they will be presenting on
- You will walk them through the following steps:
- Perform a network speed test (http://speedtest.net) or if you have a network speed test room with that board you can join and test
- Minimum of 10 Mbps download, 4 Mbps upload - If you are wanting to use Read the Room you will need higher numbers
- Join the stage
- Let the presenter know audio and video turn on automatically when joining a stage
- Audio can be heard by anyone in the audience when on stage unless they are muted
- The producer will manage the visuals that are displayed to the audience
- Screen Share
- Presenting in a window is needed to ensure LexGo is visible (instructions here)
- The presenter should share their screen immediately when joining the stage (it will not be visible until the producer makes it visible to the audience)
- We recommend not playing videos from stage as it increases complexity. However, if this is needed for your presentation you can follow these instructions.
- Have the presenter walk through all elements in the presentation to ensure no surprises. This is not about content but ensuring audio and visual success for the audience.
- Read the Room - This gives you the ability to see the entire audience who is broadcast to from that stage
- You will need an account (not pass) to use this feature.
- You will need a second monitor for this to be effective.
- You will login a second time to the same URL and click Second Screen
- This will open Read the Room and you will select the stage you are presenting from so you can see the entire audience.
Content
- Boards and Resources that the audience will need to view and interact with should be submitted one week prior to the presentation to allow for adequate publishing time
- Presentations should be delivered in their final format 3 days prior to the presentation to allow for a backup in the event a screen share issue occurs
Day of Presentation
- Have the presenters arrive early to give time to not have to rush to the stage
- 15 minutes prior to their presentation join the back stage room for any updates and final check with the producer
- The presenter should be prepared to share your screen back stage (this will not be broadcast to the audience)
- Join the stage and share your screen immediately then GO!
Event Floor Presenters
Dry Run
- Meet them in the lobby and discuss what steps will occur
- If not presenting on that floor move to the floor they will be presenting on
- Click the Show Tables on the event floor to see the event hall
- You will walk them through the following steps:
- Perform a network speed test (http://speedtest.net) or if you have a network speed test room with that board you can join and test
- Minimum of 10 Mbps download, 4 Mbps upload - If you are wanting to use Read the Room you will need higher numbers
- Join the front of the room
- Let the presenter know audio and video turn on automatically when joining the front of the room
- Audio can be heard by anyone in the audience when on stage unless they are muted
- Screen Share
